In an era where regulatory requirements are constantly evolving, ensuring compliance within human resources (HR) practices has become a critical concern for organizations. HR management software plays a pivotal role in streamlining compliance processes, mitigating risks, and fostering a culture of accountability.

From labor laws to data protection regulations, businesses must ensure they meet a range of requirements to avoid penalties, ensure regulatory compliance, and evade reputational damage.

This is where HR Management Software can make a substantial difference. With automated tracking, reporting, and documentation capabilities, HR software not only eases the burden on HR teams but also significantly enhances compliance in HR practices.

In this article, we’ll explore how HR Management Software helps organizations streamline compliance, improve record-keeping, and avoid costly mistakes.

The Role of HR Management Software in Compliance

HR Management Software encompasses a range of digital solutions designed to manage core HR functions such as employee records, payroll, timekeeping, performance reviews, and benefits administration.

By leveraging these tools, companies can automate compliance tasks, minimize human error, and maintain a record of activities that is always audit-ready.

Many business owners see HR software as a smart investment, as it reduces the time and effort required for compliance and decreases the risks of non-compliance. Here’s how HR Management Software makes it possible.

Key Compliance Areas Supported by HR Management Software

1. Labor Law Compliance

Labor laws, such as the Fair Labor Standards Act (FLSA) and Family and Medical Leave Act (FMLA), require that businesses track and report on employee work hours, overtime, and paid leave. HR software enables organizations to:

Automate Time and Attendance: HR software provides digital time-tracking capabilities that automatically calculate hours worked, overtime, and leave, ensuring that organizations stay compliant with labor laws.
Track Overtime Accurately: Calculating overtime manually can lead to errors that expose a business to legal risks. HR Management Software ensures that overtime is calculated based on local and federal labor laws, reducing errors and saving time.
Document Employee Leaves: In cases of medical leave or family leave, HR software can maintain detailed records, helping employers stay compliant with FMLA and similar state laws.

By reducing the need for manual tracking, HR software makes compliance with labor laws more manageable and less error-prone.

2. Data Privacy and Security Compliance

HR teams handle sensitive employee information, from social security numbers to banking details. Compliance with data protection laws, like the General Data Protection Regulation (GDPR) and the California Consumer Privacy Act (CCPA), is crucial.

Here’s how HR software enhances data privacy compliance:

Encryption and Access Control: HR software often includes data encryption and secure access controls to protect sensitive information. By limiting access to authorized personnel only, HR software minimizes the risk of data breaches.
Automated Data Retention and Deletion Policies: To comply with data protection laws, companies need to delete or archive employee data after a certain period. HR Management Software can automate these processes, ensuring that data is retained or deleted according to policy.
Compliance with Data Requests: Under regulations like GDPR, employees have the right to access their personal data. HR software enables companies to respond promptly to data requests, enhancing compliance with data privacy laws.

By centralizing and securing employee data, HR Management Software reduces the risk of data breaches and helps organizations adhere to privacy regulations.

3. Payroll Compliance
Accurate payroll processing is essential for compliance with wage and hour laws. Errors in payroll can result in fines and legal action. HR Management Software can help businesses:

Automate Tax Calculations: Payroll taxes can be complex, especially with changing tax rates and regulations. HR software calculates and applies the correct payroll taxes, reducing the risk of underpayment or overpayment.
Manage Pay Frequencies: Different states have different pay frequency requirements. HR Management Software enables businesses to set up and manage multiple pay schedules to meet these legal requirements.
Maintain Payroll Records: Proper record-keeping is a legal requirement in many jurisdictions. HR software stores detailed payroll data, making it easy to retrieve records during an audit.

Automated payroll processes make it easier for businesses to ensure accurate, compliant payroll processing every time.

4. Anti-Discrimination and Equal Employment Opportunity Compliance

Many countries have laws requiring equal employment opportunities (EEO) and prohibiting discrimination based on factors like race, gender, and disability. HR Management Software can facilitate compliance by:

Tracking Diversity Data: Many HR systems allow businesses to track diversity data, which is often required for reporting purposes. This feature can help businesses meet equal employment obligations and support diversity initiatives.
Standardizing Hiring Processes: Bias in hiring practices can lead to discrimination claims. HR software standardizes and documents each step of the recruitment process, reducing bias and providing a record of hiring practices if needed.
Creating a Transparent Evaluation Process: Performance management tools within HR software ensure that employee evaluations are based on objective, measurable criteria, minimizing discrimination risks.

By tracking and standardizing processes, HR Management Software helps companies reduce the risk of unintentional discrimination.

5. Health and Safety Compliance
For businesses in industries with specific health and safety regulations, HR Management Software can be essential in managing compliance with OSHA standards and other regulations. HR software helps in:

Tracking Health and Safety Incidents: HR software can record incidents, track the resolution of workplace safety issues, and store required documentation. This record-keeping is essential for audits and compliance with OSHA.
Automating Safety Training and Certification Tracking: HR software can manage safety training programs and ensure that employees are up to date on their certifications, reducing liability and enhancing workplace safety.
Supporting Remote Work Safety Compliance: As remote work grows, HR software can document ergonomic assessments or training, keeping businesses compliant with health and safety regulations for home offices.

With these capabilities, HR Management Software enables companies to meet health and safety regulations with greater ease.

6. Automated Compliance Tracking

Many HR management systems come equipped with tools that automatically track compliance with federal, state, and local regulations. This includes monitoring changes in labor laws and alerting HR professionals about necessary updates to policies or procedures.

By automating this process, organizations can stay informed about compliance requirements without the manual effort that often leads to oversights.

Risk Mitigation: By automating compliance processes and maintaining accurate records, HR management software significantly reduces the risk of human error—one of the leading causes of non-compliance issues.
Audit Trails: Organizations can quickly access historical data regarding policy changes, employee records, and compliance-related actions.
Streamlined Reporting: Compliance reporting is a critical aspect of HR practices. HR management software simplifies the generation of compliance reports by providing templates and automated data collection features.
Centralized Data Management: HR software provides a centralized platform for storing employee data, making it easier to manage records related to hiring, training, performance evaluations, and disciplinary actions.

How to Choose Compliance-Driven HR Management Software

When selecting HR Management Software to enhance compliance, companies should look for key features that support regulatory needs:

Customization Options: Each business has unique compliance requirements based on location, size, and industry. HR software with customizable features allows companies to tailor compliance settings to meet their specific needs.
Integrated Compliance Updates: Compliance requirements change frequently, and HR software that offers automatic regulatory updates helps companies stay ahead of new laws.
Comprehensive Reporting: Detailed reporting tools allow HR teams to generate compliance reports easily, especially useful for audits or regulatory reviews.
Audit Trail Capabilities: Look for software that offers audit trails to record actions taken within the system. These logs can serve as evidence of compliance efforts if an issue arises.

With these features, companies can choose HR software that fits their unique compliance needs and simplifies adherence to legal standards.

The Future of Compliance in HR Management Software

As regulations evolve, so will the capabilities of HR Management Software. In the future, we can expect to see:

AI-Powered Compliance Monitoring: AI can help detect potential compliance issues by analyzing patterns in employee behavior, attendance, or payroll, providing early alerts for potential violations.
Enhanced Data Privacy Tools: As data protection regulations increase, HR software will integrate more advanced data privacy controls, such as differential privacy and anonymization.
Increased Integration with Government Systems: Future HR Management Software may have direct integrations with government databases to simplify compliance tasks, such as employment eligibility verification.

By keeping pace with these advancements, businesses can continue to leverage HR software to stay compliant and efficient.

Conclusion: The Compliance Benefits of HR Management Software

HR compliance is a priority that can’t be ignored. HR Management Software helps simplify compliance processes, reduce manual work, and ensure that essential tasks are consistently carried out according to legal standards.

By automating compliance-related tasks, standardizing HR processes, and maintaining accurate records, HR software protects businesses from potential legal risks and allows owners to focus on growth.

Embracing HR software as a compliance tool is not only a smart investment but also a critical step toward a more secure and transparent workplace.

A study by Aberdeen Group found companies using HCM saw a 20% reduction in time spent on administrative HR tasks. That’s like giving your HR team an extra day each week!

With globally dispersed workforce and ever increasing competition for talent, managing human capital effectively is more critical than ever.

Human Capital Management (HCM) software has emerged as a game-changer for organizations looking to streamline HR processes, enhance employee engagement, and drive overall business success.

A highly engaged workforce is more productive, innovative, and less likely to leave. But how do you create that kind of environment? A study by Deloitte revealed that strong HCM practices can lead to a 28% improvement in talent retention.

So, let’s delve deeper into why HCM software is no longer just a luxury but a necessity for businesses of all sizes.

Streamlining HR Processes

Imagine your business as a well-oiled machine. Each part needs to work seamlessly for optimal performance. HCM software acts as the lubricant that keeps your HR processes running smoothly.

From recruiting and onboarding to payroll management and performance evaluations, HCM software automates mundane tasks, freeing up HR professionals to focus on strategic initiatives.

According to a study by Deloitte, companies with effective HR practices are 3.5 times more likely to outperform their peers in revenue growth.

HCM software allows you to design and automate workflows for various HR processes, such as onboarding new hires, conducting performance reviews, or managing disciplinary actions.

This ensures consistency and eliminates the risk of missed steps in critical procedures

Recruitment & Talent Management

HCM software often includes robust tools for managing the entire recruitment lifecycle, from job posting and candidate screening to interview scheduling and offer management.

It facilitates seamless onboarding processes, including new hire paperwork, orientation programs, and integration into company culture.

Similarly, offboarding features help manage exit interviews, offboarding checklists, and compliance with exit procedures.

Enhancing Employee Engagement

Engaged employees are more productive, innovative, and loyal. HCM software provides tools for creating a positive employee experience from day one.

HCM Software includes features like self-service portals for accessing pay stubs and benefits information, performance management tools for setting goals and providing feedback, and employee recognition programs to boost morale.

Think of HCM software as a GPS for your workforce. It helps employees navigate their career paths within the organization, ensuring they stay on track and motivated.

Recognition and Rewards Made Easy

HCM software streamlines the performance management process, allowing for goal setting, performance reviews, and feedback exchanges. Employees feel valued and motivated when they understand their goals and how their work impacts the organization.

HCM supports succession planning initiatives by identifying high-potential employees, assessing readiness for key roles, and developing succession plans to mitigate organizational risks.

Imagine a job well done going unnoticed. Demotivating, isn’t it? HCM software facilitates recognition and reward programs.

Employees can receive instant peer-to-peer recognition, or managers can leverage the system to acknowledge outstanding contributions.

HCM can also automate reward programs, ensuring timely appreciation for a job well done. Feeling valued is a key driver of employee engagement, and HCM makes it easier to show employees they matter.

Employee Relations and Compliance

HCM software may include case management tools for handling employee relations issues, grievances, and disciplinary actions in compliance with HR policies and regulations.

Navigating the complex landscape of HR regulations and compliance requirements can be daunting.

HCM software helps organizations stay compliant with labor laws, data privacy regulations (such as GDPR or CCPA), and industry standards. It automates compliance reporting, reduces errors, and mitigates risks associated with non-compliance.

There are also regulatory norms for wages and payments as per different states, HCM software can help with checks and balances to ensure compliance for every hire & contractors.

HCM software can be a shield that protects your business from regulatory storms. It ensures you’re always ahead of the curve, minimizing legal risks and potential penalties.

Informed Decisions Make Happier Employees

In today’s data-driven world, HR leaders need actionable insights to make informed decisions. HCM software provides robust analytics and reporting capabilities that enable HR professionals and business leaders to track key metrics, identify trends, and forecast workforce needs.

It supports strategic workforce planning, succession planning, and talent development initiatives. Imagine managing your employees based on hunches. Not ideal. HCM software provides a treasure trove of employee data.

Track trends in engagement surveys, analyze feedback from performance reviews, or identify areas with high turnover. This data empowers data-driven decisions to improve the employee experience and address concerns before they escalate. A happy workforce is a more engaged workforce.

Customizable Fields, Dashboards and Reporting

Every organization has unique data points they track for their employees. HCM customization allows you to add custom fields to forms and reports to capture the specific information you need. This could include tracking skills, preferred work locations, or professional development goals.

Managing complex HR processes means basic reports might not be enough. Advanced Analytics and Reporting in HCM software can help. HCM customization can unlock advanced data analytics capabilities.

Drill down into employee data, identify talent gaps, predict turnover risks, and make data-driven decisions to optimize your workforce strategy as per your needs.

HCM Customization also allows you to incorporate your company logo, color scheme, and branding elements into the user interface. This fosters a sense of familiarity and makes the HCM system feel like an extension of your company culture.

HCM as a Cultural Shift

While HCM software is a powerful tool, it’s just one piece of the puzzle. To truly leverage HCM for employee engagement, a cultural shift within the organization is crucial. Leadership needs to champion the use of HCM features, encouraging open communication and feedback.

Remember, successful HCM implementation requires careful planning, thorough research, and a commitment to user adoption.

With the right approach, HCM software can transform your HR department from a back-office function into a strategic asset, driving employee engagement and propelling your business forward.

HCM software includes tools for building and maintaining a talent pipeline, proactively identifying and nurturing future leaders and critical skill sets within the organization.

HCM, combined with a commitment to employee well-being, creates a powerful formula for a truly engaged workforce.

Conclusion

Investing in HCM software is not just about modernizing your HR department; it’s about future-proofing your business.

Whether you’re a small startup or a global enterprise, HCM software empowers you to attract top talent, engage your workforce, ensure compliance, and make data-driven decisions that drive growth and innovation.

As the business landscape continues to evolve, HCM software will remain a cornerstone of success, enabling organizations to adapt, thrive, and lead in a competitive market.

Employee onboarding can provide a launch pad for the new employees to unleash their best. The demand for skillful and talented IT professionals has increased owing to the accelerated digitisation after the pandemic. There has been a surge in applications and services with most industries adopting digital avenues for their day to day business. Hiring new employees and bringing out the best in them is a challenge faced by many organisations today.

Companies are hiring to attract the best people and make a great impact with the work they do. The employee onboarding is an indispensable part of the equation. Virtual hiring and global dispersed teams are only adding to the challenges of creating an engaged workforce. Here’s a look at how technology and HR software can improvise the employee onboarding to create an integrated workforce:

1. Hiring Strategy

Assessing cultural fit is foremost for top companies. The HR software can help companies assess whether new employees will be culturally fit for them. By assessing the core skills, attitude, and analysing data streams based on interviews and online data, the algorithms can help companies zone into the best candidates for the organisation. The best fit candidates can then be offered roles as per their skills and aptitude.

Companies like Zappos even pay people to leave their company after the induction training, if the employee does not like organisational culture. Customer delight is the core Zappos value and it wants every employee to embrace it.

While the employee is onboarded, companies should assess the best fits and give everything the employee needs for a head start. The software driven notifications, triggers, training programs and learning materials can make them work ready.

2. Simplify Employee Workflow

The new hires are an amazing opportunity for a company to unlock new sources of ideas, insights and energy. In creative organisations, fresh outlook and nimble approach can make a big difference to the outcomes. However, if employees are not guided and supported, they can find it hard to contribute.

The HR software helps companies design workflow for new employees methodically. The induction training, key contact details like the concierge, or the resource links for information, day to day work details etc. can be communicated proactively to candidates.

The HR software can design an onboarding programme that unleashes the best out of candidates. It has become more important than ever due to the globally dispersed teams, different timezones and flexible work hours policies.

HR softwares helps companies devise contextual workflows to get the best out of employees and also make their life more convenient. The use of personalised nudges, digital checklists and simplified workflow improves onboarding experience for candidates.

3. Interactive Chatbot

New employees need all the support and have queries that need to be resolved quickly. Chatbots and interactive virtual assistants are helping companies derive great value by automating FAQs. This chatbot can answer and take care of administrative and operational needs for a candidate. It can also guide employees to find relevant resources and provide wiki docs for the organisation.

The chatbot can help employees find files, book meetings and get answers to their FAQs updates. The Chatbots also help employees with helpdesk related tasks related to their IT infrastructure, data policy and onboarding needs.

4. Triggers for Engagement

The onboarding experience can be daunting for new employees. There could be a steep learning curve, cultural
difference and high expectations from the employee. It is imperative not to overwhelm the newcomers, give them time to be comfortable and help them contribute their best.

The HR data can be analysed and personalised recommendations can be provided to employees for helping them. For e.g. specific trainings for ongoing projects as per the needs. The software can provide nudges, triggers and constantly help the employees. A poll or survey can help the employees provide feedback on how they’re acclimatising with the company. They can also point out their expectations and ways in which they would like to be supported further.

5. Ideas & Innovation

Every industry is looking at unleashing new ideas and innovation to unlock new avenues for growth. The creativity and technology helps companies scale their offerings to new heights in the shortest possible time. Companies want their new employees to look at things afresh and contribute to the innovation.

“If you give a good idea to a mediocre team, they will screw it up. If you give a mediocre idea to a brilliant team, they will either fix it or throw it away and come up with something better.”
                                                                                                                                                                               Ed Catmull

It is critical that leadership encourages innovation, ideas and new insights to build the future. When new employees join your organisation, they can look at things from the ground up and offer their ideas. Companies like Salesforce provide Ideas exchange forum for employees to contribute and exchange ideas. The exchange of new ideas is driven by technology that provides an essential forum for people to stay connected and contribute in achieving their shared goals.

6. Real-time Collaboration

Today employees have more freedom and flexibility in choosing their work locations. There are several of them who are working from their homes, remotely and others are now back to office.

The integrated workforce is a force multiplier. The HR tools and technologies are helping companies create an integrated workforce. It helps them create teams that work for real time collaboration. The new employees can use these tools for their day to day tasks. They can also schedule one to one meetings with their managers, have conversations with their peers and get things done without feeling stretched.

7. Gamify Performance Incentives

The HR software can create gamification for improving employee engagement. These performance incentives could be used for encouraging employees. For e.g. the goals of an employee & current completion status. The sales goals, average revenue per employee, current revenue closed in the quarter vs the goals for the quarter etc. These are depicted for employees to see where they stand with respect to their peers.

The gamification of HR software helps employees track some of the following:
The goals for a given time period
The goals of your team
The progress you’ve made.
How performance is measured
Where you stand with respect to the expected performance levels
Trainings to be completed in a given time period

Gamifying the onboarding experience can be fun and encourage employees to complete their goals. The gamification scores for key metrics are personalised as per the work, experience levels and goals of an employee. It provides a proactive communication platform between employees and their managers.

8. Work Policies

The amount of information, complexity of projects and changes can be too much to handle for new employees. The
mental health, fitness and well being of employees is crucial for companies. In such a scenario, companies need to be vigilant to publish their policies transparently.

These policies need to be articulated and constantly reiterated to make employees feel connected. The work policies help organisations govern with transparency, build a good culture and help employees stay connected with the mission of their organisation.

When employees understand the DNA of your company and what makes it unique for them, they can contribute meaningfully.

HR Analytics is helping companies derive meaningful and contextual insights. The human resources data is crucial for driving organizational decisions, reducing attrition and shaping its future in the right direction. The employee policies, engagement & culture can be crafted based on insights from the HR data.

The competitive landscape for talent has increased in recent times. HR analytics can help companies with the right metrics to measure the pulse of the organization in real-time. It can foster decisions like work from home policies, holidays, company offsites and events etc. HR analytics accedes data for assessing the performance of employees, their contribution to projects, revenues & operations for companies.

HR data is the driving force for an organisation. It provides nuggets of information that opens doors to new possibilities for a company. However, data is meaningful if it is presented in context, relevance and timely manner. Bits of information and data that don’t present the complete picture can often present a misleading picture of the organization. It can impede progress and create an illusive image of the organization.

HR data needs to be accessed real-time for unlocking the right insights and get the best out of your teams. When the best opportunities are filled with the best people in the organization, it paves the path for growth. Here’s a look at some of the essential elements of HR analytics to ensure organisational success:

1. Standardize Data

The standardization of the data deals with its uniformity across locations, jobs titles, departments, and levels. When the data is uniform and standardized, comparisons and analysis become easier.

The company needs to create ways to collect and measure the relevant datasets for assisting its employees. Right from the time, an employee is onboarded in the company to the time he leaves the company, data needs to be collected. The data needs to uncover hidden work patterns, productivity levels, contribution to ongoing projects, peers etc.

With the right information, decisions can be taken with more confidence. The best performers can be rewarded suitably and teams can be incentivized for organizational success.

Standardizing information also leads to improved workflows and processes. Employees are presented with the strategic information, tools, data, and processes at one place to help them with their day-to-day work. All employees are connected to a centralized system that leads to consistency, strategic adoption of new policies and work with transparency.

2. Predictive Insights

Predictive insights have becomes an important tool for competitive advantage for organisations. The top organisations are assessing data and technology to churn better predictions for their business. Why are predictive insights useful? Because, it helps the organisations prepare better and take a data driven approach to reduce uncertainty and chaos.

So, predictive analytics work on datasets collected from the organization over the years. It can help companies predict things like average attrition rate, revenue per employee, project performance, right team combination for challenging projects, and nudge teams to make better decisions.

The use of machine learning and AI is now common place for HR data. Organisations are constantly learning more about their employees with large streams of data. For e.g. employee preferences, skills, work patterns, efficiencies, and how they can contribute their best.

3. Benchmark Data

Benchmarking data against the industry competitors can be helpful in making some decisions and adopting the right processes. The payroll data is an integral part of the HR system. Most HR systems capture the required information for compliance, taxation and regulatory reporting. However, there is also a strong case for capturing payroll information by location, position and work profiles.

For e.g. when companies are promoting employees, they can make use of this information to ensure they are paying on par with industry standards. If the company is based in San Francisco, the HR software can prompt the salary range for the position in that region.

Payroll analytics is useful for the company to stay ahead of the competition in retaining their talent pool. It can help increase retention rates for good employees while letting go of the misfits. This data can also be used for hiring new employees or for lateral hires. The right range, competencies and skills etc. need to be benchmarked before jumping the gun.

4. People First

The HR analytics concerns with people first and foremost. Every data strategy must align with its core objectives linking to the people in the organization. These initiatives could be related to sourcing, hiring, employee engagement, performance rewards, retention, promotions and constantly improving as an organization on these parameters.

The data, technology and artificial intelligence is leveraged to create a high-performance culture in the organisation. The data driven approach to HR decisions leads to more transparency, open-minded and attracts talented people in the organization.

The people-first approach requires collecting the right data-sets. It discards information that is too granular and bloats the system. The right training data is useful for machine learning and discarding irrelevant bits. It helps to devise a system that leads to clear and actionable insights for performance objectives that matter the most for an organization.

5. Uncover Hidden Patterns

HR analytics link people, processes & data to provide valuable information pertaining to companies. The key lies in using data, algorithms & machine learning to uncover hidden patterns in a business.

Is your business getting reports and recommendations to unlock hidden patterns? The AI reporting helps companies proactively improve their key metrics like revenue per employee, productivity, absence rate, training time per employee, retention rate, employee satisfaction scores, new hire retentions, and attract more candidates per open post.

The reports help companies find crucial information, which helps bridge gaps to improve employee performance. Sometimes, retention rate simply rises when employees are assigned challenging projects in line with their skills. Trainings also increase retention rate.

The HR tools are able to create a value-driven approach to assessing employee performance. For e.g. recommending 4 hours of training every week per sales employee to improve sales performance. Managers get notified to prompt employees to be given time off after demanding projects requiring over 60+ hours for more than 4 weeks etc.

The HR analytics software works as a tool that helps its employees improve, contribute more effectively and build a healthier organisation.

Remote work spawned by the coronavirus pandemic is here to stay. More than two thirds of the workforce in the US is now working remotely. Stanford University conducted a research, which revealed 42 percent of the U.S. labor force is now working from home full-time. 33 percent are not working due to unemployment and 26 percent are essential service workers.
Remote work has reduced the cost for companies as it cuts down their need for office space, electricity bills, equipment & conveyance costs etc. Employees have been working from home since the pandemic in most of the organisations. While there has been a considerable rise in productivity as measured in several studies, the employees are getting a bit overwhelmed with full time remote work.

In a study conducted by Buffer, employees revealed their top struggles with working remotely. 20% cited collaboration & communication issues, another 20% suggested loneliness, 18% were not able to unplug from work, 12% had issues with distractions at home. As remote work becomes a norm, managers and organisations will need to make sure they are doing their part in encouraging and motivating employees to do their best, while caring for employees’ mental and physical well being too.

1. Set Guidelines for Remote Work

Your performance expectations and standards need to be communicated with clarity for remote workers. When employees are in office, the standards and expectations are more or less known to everyone. But when employees work remotely, certain rules change, expectations from employees also change. For e.g. something as trivial as replying to an email, the expected response times, availability etc. should be communicated explicitly.

When the performance expectations and ground rules are clear, it helps the employees do their part effectively. There could be a case of putting extra attention and care to meet certain deadlines during remote work. And employees will be able to step up their game, when they know the reason and rationale behind things. Good communication is the key.

2. Reiterate Vision & Goals

It is important to reinforce the vision and goals for the team. It is what binds them together. It is what gives them a shared purpose. And it is something that can be easily forgotten when employees are working from different locations and not touching base with each other for months. It needs reinforcement and repetition.

Great companies find a way to communicate and reiterate the importance of what they are doing. They get the buy-in from their teams and create goals that help them make progressive efforts towards the vision. Creating a sense of belongingness is more important, when people are working alongside each other in the same office space.

3. Use Design Thinking

Design thinking is a user centric approach to finding solutions. When teams are working remotely, using design thinking can help to connect with all stakeholders with clarity. The designs can communicate the goals, deliverables, constraints and expectations of each member with precision.

Whether it is a workflow document or product feature requirement, design thinking can help teams stay connected to their work and goals. The visualization is helpful to connect people to generate ideas, build prototypes and implement things.

4. Team Spirit

When teams are working remotely, team spirit can take a back step. The onus is on the managers and organisations to ensure that they take time for virtual team building events. Whether it is a Friday afternoon get-together or a hobby session, employees should spend time on activities for team building.

The team building could also include yoga sessions, story telling, training, motivational pep talks etc. When employees participate, contribute and discuss things, they are able to shed their inhibitions and monotonous routines. It helps them grow, develop broader perspective and bond with their teammates.

5. Use Video Meetings to Connect

It has become easier to connect to team members using video meeting tools like Zoom, MS Teams and Google Meet. These virtual meeting tools can teams stay connected, informed, review and comment on work items.

Use of storyboards, design thinking visuals, process flow designs, user interfaces and wireframes, product prototypes, video recording of features etc. can be used in the meetings too.

The ground rules for the video meetings and agenda can be communicated in advance. Shorter and to the point meetings help a team improve its effectiveness. Long meetings are mentally hard on the participants and derail a team’s productivity. A meeting of 15-30 mins is usually good enough to review things, provide inputs and give constructive feedback for progressive work.

6. Incentivise Performance, Innovation & Results

The remote work gives people freedom to have flexible schedules, work from any location & not having to commute to the workplace. It has proven to be a great booster for productivity and performance of employees.

A good incentive program to gauge employee performance can be a great boon for companies. Employees will be encouraged to find effective and novell ways to improve their performance. There could be points for innovation and finding new ways to get things done. Any improvement in the existing workflows that can help companies and their customers can be rewarded suitably.

Create programs that help employees learn, experiment and create things that the world will be thankful for. An innovation program and something that rewards outstanding performers working remotely can go a long way in helping companies improve their bottom lines.

7. Cut-Off Time

Remote work can take a toll on employees. The pressure and the stress of the job can be cumbersome for many. Infact, a lot of employees are finding it hard to unplug and disconnect from work. They are constantly checking their work related emails at odd times, not able to break from the monotony of work.

Organisations can proactively provide the guidelines for employees’ physical and mental well being. Companies can set-up call centers to counsel employees and help them stick to healthy practices. Employees need to be able to switch off from work and call it a day after the mandated hours.

A good balance of work ethic and personal well being needs to be practiced while working remotely. Organisations need to build a virtual environment for energy, commitment and quality of work & maintain well being of their teams.

Digital Capabilities with HR SaaS

The HR SaaS provides a framework for organisations to build digital capabilities in their organisations, experiment and optimise their team management processes. Teams around the world are depending on software as a service tools to get things done, collaborating remotely and working with greater efficiency than before. This is a pertinent phase where companies are able to reflect on their processes and make them future ready.

The capabilities of advanced machine learning algorithms helps organisations predict events like employee attrition, anomalous activities, skill gaps and star performers etc. Here are some of the ways organisations are building their digital capabilities using HR SaaS.

1. Dynamic Process Management & Reviews

An HR software should be able to digitize processes in an organisation. Many of the traditional HR processes are increasingly driven by algorithms and software. Organisations are not complaining as they see tangible improvements. An organisation can benchmark its processes end to end, monitor and optimise things as per its objectives.

With the HR system in place, an organisation can use performance metrics to review its processes. Some of the metrics that can be used for measuring the outcomes of the HR system are as follows:
           a) Time for hiring candidates
           b) Joining ratio for candidates
           c) Average revenue per employee

2. Digital Operations & Workforce

Digital Workforce

How does your organisation ensure that employees are focusing on the right things? Are they working as efficiently and productively as they can? What tools are being used for measuring employees performance? Are employees aware of the performance expectations versus where they stand? The answer to the questions lies in the use of technology. When an HR system is used, organisations can answer these questions with real time data.

A digital workforce needs to be connected and collaborative. They need to experiment, iterate and build things that clients adore. A digital workforce is very much in tune with the needs of the times and delivers solutions proactively. Many times it involves cannibalising your own products, but that is the only way to deal with disruptions.

The digital organisations are up to date with online work policies and tools. These organisations are able to synchronise with on demand workers and remote work routines across the world. The digital workforce is exquisitely adept at working with machines, for e.g. organising job interviews through chat bots & robots etc.

3. Outcome Economy

The digital companies are driven by concrete outcomes. The value of work is evaluated based on the economic returns and future prospects for the company. No company wants to spend its resources without tangible ROI for it.

The HR SaaS can track employee timesheets, personal performance and goals etc. Overall, it can help an organisation to get best output for its resources employed. An HR software can help management decide the best employees for a project based on skill recommendations, past work and performance.

Organisations can compute project profitability analysis, average employee time on projects, average billing rate for work, employee performance metrics vis-a-vis allotted projects etc. The HR SaaS enables organisations to ensure they commit resources to projects with definite outcomes geared for success.

4. Disrupt & Reskill

Reskill Workforce

Every organisation needs a concrete strategy to reskill its workers. The problems of the future cannot be solved by the skills of the past. HR Software can help an organisation proactively plan and implement its training schedule. The AI based algorithms can provide personalised recommendations for employee training, skillset upgradation and measure performance.

The HR SaaS can also help organisations derive and calculate the economic impact of reskilling for teams. As organisations continue tapping into global resources for learning, it is imperative that companies set-up a learning hub for its teams. The HR software can incentivise learning for employees and help them improve their work performance too.

Nokia & Sony had similar projects under development years before iPod & iTunes were launched in 2001. But Nokia and Sony resisted launching these products due to fear of cannibalising their own business. Later they got disrupted anyway when Apple launched them & swept away the market.

5. Reducing Human Bias

Digital HR SaaS

The HR professionals spend countless hours on administrative work, searching through resumes, shortlisting and selecting candidates etc. Many of these business functions can be handled through automation and HR software. It eliminates and reduces human bias in the decision making process.

The HR software can work with qualified data sets to explore employees. It can help many services like the recruitment of candidates, project allotments to employees and performance reviews. Organisations reduce time, efforts and money for making these HR decisions. More importantly technology is neutral and helps organisations make the best decisions for them.

Employee performance management is a great competitive advantage, if it works for your business. Great companies and organisations are built on the prowess of its employees and staff performance. What employees do every day to shape the company goes a long way in making it successful or irrelevant.

Employee performance management requires bringing out the best in your team so that everyone can achieve more. HR software can help your organisation keep track of performance management for your team. Here’s a look at how you can improve employee performance with an HR management system:

1. Setting the Performance Expectations

Setting the Performance Expectations

With an employee management system, every employee and team member can have access to their shared goals, key deliverables, project details and expected standards from them.

Management can use the self service HR systems for enforcing quality checks, setting expectations and ensuring consistency of performance across the organisation. When the employees are clear about the expectations from them, managers can make them accountable for their deliverables.

Top companies make their expectations for employee performance with clear objectives. Some of them could be:

a) First time quality of work: Review your own work carefully to produce top quality work in the first go. Avoid meaningless and cyclic iterations that waste time.

b) Reliability: Are you someone who is reliable? No person with a dicey track record can be entrusted with key responsibilities.

c) Adaptability & Flexibility: To succeed in today’s organisation, you need to be able to adapt and be ready to take on challenges.

d) Understanding & Conceptualisation: Your ability to grasp new concepts, ideas and execute them is paramount to deliver the goods.

e) Self driven: If you are self driven and a go getter, you can achieve great results.

f) Response to Criticism & Inputs: Taking criticism and inputs is one of the most essential traits of a professional. Your growth depends on your ability to learn fast, take inputs & improve.

g) Attention to details: Your expertise lies in your ability to learn & pay attention to the details. Achieve mastery & depth in what you do.

h) Deadlines & timeliness: The work you do matters the most when you do it on time.

i) Output & Productivity: Your growth depends on the output, efficiency & quality of the work you do on a daily basis. It adds up overtime.

j) Creativity: Take time to think about the best way to accomplish your task. When you delight people with creativity, you find ladders for your own growth.

k) Proactive: Take initiatives, try out new things and develop skills to work without direction.

l) Innovation: Find ways to build and develop new ideas. Innovation requires experimentation, efforts and ability to correlate things.

m) Responsibility: Take full responsibility for whatever you do, nothing less works at all.

n) Conflict Resolution: Learn to communicate, handle pressure and resolve any conflicts to advance your career.

o) Problem Solving: You are expected to solve problems, not offer excuses. Find ways to get things done & let your performance do the talking.

2. Measure the Performance

Evaluating performance requires measuring tasks every day. A dynamic HR software allows organisations to keep track of key tasks, documentation and help teams achieve better performance. Some of the things that can be used to measure performance of employees with an HR system is as follows:

a) Timesheets: Timesheets can be used for hourly tracking of employees tasks. The tasks performed can be evaluated by the managers on a regular basis to track efficiency of work.

b) Project Performance: Projects can be broken down into tasks. These tasks can be managed using timesheets and allotted to employees. The project performance, client communication and deliverables can be managed using the HR software.

c) Individual Performance: The daily efficiency and output of employees can be tracked using an automated system. Each employee can track their progress and co-ordinate with their supervisors and teams for their work.

d) Teamwork: How teams collaborate and help each other are important for a company’s success. Using an HR system that allows collaboration effectively, provides visibility and transparency can make a world of difference.

e) Discipline: Today with the SaaS based tools and work from home culture, employee discipline is crucial. How an employee meets the deadlines for tasks, manages time and absenteeism can be enforced using online systems.

3. Compare Performance

Compare Performance

There are some teams that optimise their day to day work, produce great output and quality. But the same needs to be replicated across teams and the organisation. An online system for managing teams and their tasks can be used for implementing best practices across the company.

Every employee should be able to judge where he stands. The system can be used to track the top performance according to the key performance indicators. The online HR software can measure teams performance and individuals performance. For e.g. for sales teams, average time to send a client proposal, average time to close a deal, average revenue generated per month per employee etc. can be compared.

For development teams, number of user stories added for a given time period, number of features designed, bugs per feature or module etc can be tracked. Every employee also gets access to these key indicators & evaluates their performance.

4. Align Individual Goals to Company Objectives

Organisations need to help employees grow and develop in their careers. When employee goals are inline with the organisation’s goals, this could be a win win situation. The company can make use of effective tools to unleash employees aspirations and skills to fit the best projects.

The employee needs to be able to see how their performance is directly related to company success. Quality of work has a direct impact on the projects, revenue and overall company performance. When the company succeeds, the employees get rewarded with growth at the same time.

5. Performance Based Compensation & Rewards

Performance Based Compensation & Rewards

An online system that is used for performance based compensation and rewards ensures consistency. When performance indicators are well defined, the HR system can introduce fairness and transparent appraisals for employees.

The system creates an automated list of top performers in various functional roles. Whether it is marketing, sales, development or any other department, the top performers are rewarded and compensated according to their performance. The management gets insightful reports of employee performance across departments and locations.

6. Communication Standards

An HR tool gives teams access to the information they need. The teams, clients and project managers can use the system to communicate effectively. The right communication helps teams achieve greater performance. In addition to the project and company objectives, individual areas for improvement can also be singled out.

The past feedback, employee profile, skills and appraisals can be used for recommending improvement areas. Managers can work with employees to help them build skills for them to excel. The online system provides an organised approach to employee development and skill building, thereby helping them improve their performance.

7. Daily Appraisal of Work

Daily Appraisal of Work

An HR based system allows organisations to improve the efficiency and output of their employees. The software based system can be used for daily appraisal of employee’s work, provide them with timely feedback to help them improve the quality of deliverables consistently.

Organisations can use this daily tracking system for evaluating progress on a day to day basis. The employees can review their work at the end of the day and learn more about areas to maximise their performance.

8. Knowledge Base, Processes & Training

An online HR software can facilitate skill development, training and improve overall competency levels of employees. The knowledge base serves as a repository for learning, information and record keeping. The processes are streamlined with consistency, automation and data driven intelligence for unleashing the best talent.

The employee onboarding, performance appraisals and overall learning is facilitated using AI driven employee management software. A digital record of employee milestones, educational background, skillset, learnings, top achievements, project performance, goals met, and client recommendations etc. are used for grooming the talent pool.

Technology has changed the way we live. And it will continue to change everything around us. Technology Trends that have the potential to shape the future, cause disruptions and impact the masses are always significant. Enterprises all over the world are looking to gear themselves up for such trends & take the early mover’s advantage. Here is a brief list of enterprise technology trends that are likely to dominate the landscape of the digital world:

1. Internet of Everything :

The growth of mobile devices, wireless internet and cloud computing means we live in a connected world. The rise of wearable computing, smart sensors, automated data collection, analytics and cloud enabled platforms are powering internet of things applications. Whether it is smart city, building & infrastructure, supply chain, manufacturing, connected healthcare software products, internet of things is everywhere. More such applications will drive the future.

2. Integrated Analytics :

The enterprises today are challenged to stay ahead of their competition, emphasis on productivity, efficiency & results has never been higher. As a result of this, companies now use the best in class systems for various departments, functionalities & locations. However, this leads to data proliferation and sometimes analysis of the whole thing may not be possible with different data sources. Applications which will integrate and analyse information from various data sources and predict meaningful business outcomes will be important for businesses.

3. e-Payments & Digital Banks :

The rise of e-payments will continue to grow. More innovation around finance and technology will provide unprecedented power in the hands of the consumers. Inefficient banking will give way to digital banks and international payment systems. End to end payment solutions for global consumers which will eliminate currency conversions and promote international trade will grow.

4. Offline & Online Commerce :

The rise of ecommerce development has changed the way people buy things. There is still a huge offline market which is now beginning to leverage technology for commerce. The way things are purchased in the offline market will be facilitated through online portals & websites. Whether it is map based apps, which help you to find out nearest locations, reviews and get items delivered as per your preferred time.

5. Service platforms that promote Sharing :

With the rise of sharing economy, consumers have access to greater resources than ever before. Platforms like AirBnB, Uber, and upwork are some of the great examples of sharing economy. They have transformed the whole ecosystem & changed the way people do things. Online marketplace platforms are driving major changes in the digital world today.

6. Web enabled Selling:

Every business is looking to sell more effectively to its customers. While doing that there is also considerable emphasis on minimizing cost to acquire a customer. Dynamic websites with virtual assistants, agents & ecommerce enabled functionalities are great tools to achieve that. Businesses will be on the look out to increase their reach with online selling with realtime voice, video & chat communication across channels.

7. Predictive Algorithms:

Every business needs a crystal ball to gauge the future. When businesses rely on data, correlate patterns with cognitive & predictive algorithms, they have a fair chance of peeking into the future. As per Harvard review, some insurance companies are leveraging predictive algorithms to study the user behaviours & assess their personality. They look at magazine, website subscriptions, and study photos on social media to determine the risk of an investment. These algorithms analyse information and predict candidates who’re likely to repay loans with higher probability. These predictive algorithms will enable businesses to make critical decisions in the future.

Technology is reshaping the world and has a major impact on the businesses operate. Proactive companies are able to see the patterns that will differentiate them to gain competitive advantage. The ability of an organisation to leverage these advancements for providing better products & solutions to its clients is paramount to success in an ever changing world.
